Inviting a caregiver into your family’s life is a big decision. This person will be in your home, assisting someone you love with deeply personal tasks, often when you’re not there to watch. Choosing the right agency is how you make that leap of trust safely.
Not all agencies operate the same way. Here are eight questions that quickly reveal the difference between a professional care agency and one you should walk away from — plus what good answers sound like.
1. “Are you licensed and insured?”
In New Jersey, home care agencies must be properly licensed, and reputable agencies carry liability insurance and bond their employees. If an agency hesitates on this question or suggests paying a caregiver “off the books,” end the conversation. An unlicensed arrangement leaves your family carrying all the legal and financial risk.
2. “How do you screen your caregivers?”
You want to hear specifics: criminal background checks, verification of certifications and credentials, reference checks, and in-person interviews. Vague answers like “we only hire good people” aren’t enough for someone entering your home.
3. “Who creates the care plan — and who supervises it?”
The strongest agencies have a Registered Nurse assess each client and build the care plan, then supervise the caregivers delivering it. RN oversight means someone with clinical training is watching for changes in condition, not just checking boxes.
4. “Will we have consistent caregivers?”
A rotating cast of unfamiliar faces is unsettling for anyone and genuinely harmful for people with memory loss. Ask how the agency handles matching and continuity — and what happens if a caregiver is sick or on vacation. Good answer: a small, consistent team with a known backup, not “whoever is available.”
5. “What happens if the caregiver isn’t a good fit?”
Even careful matching sometimes misses. A quality agency will say, without defensiveness, that you can request a change anytime and they’ll re-match promptly. If the question makes them bristle, that tells you how future concerns will be handled.
6. “How do you communicate with families?”
Ask how you’ll know what happened during visits: care notes, check-in calls, a family contact at the office. You should never feel like care happens behind a curtain. Also ask who answers the phone after hours — emergencies don’t keep business hours.
7. “What exactly is included, and what does it cost?”
Get pricing in writing, including any minimum-hour requirements, holiday rates, and cancellation policies. Transparent agencies explain costs before you commit and never surprise you on an invoice. If you have long-term care insurance, ask whether they’ll help you use it.
8. “Can care change as our needs change?”
Needs rarely stay still — recovery progresses, conditions evolve. Ask how reassessments work and how easily you can add hours, reduce them, or add services like wound care or overnight support without starting over with a new provider.
Trust the visit, not just the answers
Finally, pay attention to how the agency treats you during the assessment itself. Did they listen more than they talked? Did they ask about routines, preferences, and personality — or just push a contract? The consultation is a preview of the relationship.
At Gentle Valley Home Care, we welcome every one of these questions — because we built our agency around the answers families deserve: RN-supervised care plans, thoroughly screened caregivers, consistent matching, transparent pricing, and open communication at every step.
